This Business Privacy Policy explains how Crafted Bits ("we," "our," or "us") collects, uses, and protects information in connection with the K53 Sharp Dashboard (the "Dashboard") used by driving schools and instructors.

This policy applies to the Dashboard and related business services only. The free K53 Sharp learner app used by students is covered by our separate App Privacy Policy. Unlike the learner app, the Dashboard is an online service that stores and processes information on our servers.


1. Information We Collect

1.1 Account & Contact Information

When you register and manage your account, we collect details such as your name, the names of your admin users, business or school name, email address, phone number, and business address.

1.2 Payout & Payment Information

To enable subscription billing and lesson-payment payouts, payment and bank account details are collected and processed by our third-party payment provider. We do not store full card numbers ourselves. We receive limited transaction and payout information needed to operate and reconcile your account.

1.3 Operational Data You Provide

When you use the Dashboard, you enter information about your business operations, which may include the personal information of your students and instructors - for example names, contact details, bookings, packages, and lesson records.

1.4 Usage & Technical Data

We collect technical information such as log data, device and browser type, IP address, and how you interact with the Dashboard, in order to operate, secure, and improve the Service.


2. How We Use Information

We use the information we collect to:

  • Provide, operate, and maintain the Dashboard and its features;
  • Process subscription payments, lesson payments, and payouts;
  • Manage your account, listings, and admin users;
  • Send service, billing, and support communications;
  • Secure the Service, prevent fraud, and troubleshoot issues; and
  • Comply with our legal and regulatory obligations.

3. Roles Under POPIA

Under the Protection of Personal Information Act 4 of 2013 (POPIA):

  • We are the responsible party for the account and contact information of your school and its admin users.
  • For the personal information of your students and instructors that you enter into the Dashboard, your school is the responsible party and we act as your operator, processing that information on your behalf and on your instructions.

You are responsible for having a lawful basis and any required consent to provide your students' and instructors' information to us, and for responding to their requests about how their information is used.


4. Third-Party Service Providers

We rely on trusted third-party providers to deliver the Dashboard, including:

  • A payment provider that processes subscription payments, lesson payments, and payouts;
  • Cloud hosting and infrastructure providers that store and run the Service; and
  • Communication providers that help us send email and other notifications.

These providers process information only as needed to provide their services to us, under their own terms and privacy policies, and we require appropriate safeguards where personal information is shared.


5. Sharing & Disclosure

We do not sell your information. We may share information only:

  • With the service providers described above;
  • Where you direct us to, such as displaying your listing in the learner app;
  • Where required by law, regulation, or valid legal process; and
  • In connection with a business transfer such as a merger or acquisition, subject to this policy.

6. Data Storage & Security

Dashboard data is stored on secure servers operated by our hosting providers. We use reasonable technical and organisational measures - such as access controls, and authentication - to protect information against unauthorised access, loss, or misuse. No system is completely secure, and we cannot guarantee absolute security.


7. Data Retention

We retain information for as long as your account is active and as needed to provide the Service. After your account closes, we retain information only as long as necessary for legitimate business, legal, tax, or regulatory purposes, after which it is deleted or anonymised.


8. Cross-Border Transfers

Some of our service providers may process information outside South Africa. Where this happens, we take reasonable steps to ensure the information is protected by safeguards consistent with POPIA.


9. Your Rights

Subject to applicable law, you may request to access, correct, update, or delete your personal information, or object to certain processing. To exercise these rights, contact us using the details below. You also have the right to lodge a complaint with the Information Regulator of South Africa.


10. Cookies

The Dashboard uses cookies and similar technologies that are necessary to keep you signed in, remember your preferences, and keep the Service secure and reliable.


11. Children

The Dashboard is intended for use by driving schools and instructors, not children. Where student records you upload relate to a minor, you are responsible for ensuring you have the appropriate legal basis and consent to process that information.


12. Changes to This Policy

We may update this policy from time to time. We will notify you of significant changes by updating the "Last Updated" date and, where appropriate, by notice in the Dashboard.
